Checklists for Setting up Serialized Tool Resources

There are different scenarios that describe when you could convert assets and resources to serialized inventory:

•	When you first set up your assets and tools in APM or convert existing assets and tools

•	When you purchase new tools

The following checklists outline the steps to follow to set up serialized inventory.

These steps must be followed in the described order. The asset must be linked to the resource before it is turned into a serialized resource. The inventory balances must be correct before the units are created.

Steps for Setting Up Serialized Inventory and Tools

Perform the Site Setup Steps

1.	Create the offset account for tools usage transactions. See Setting up the Offset Account for Tools Usage Transactions.

2.	Define the inventory statuses and match them to asset statuses. See Setting up Serialized Unit Statuses for Tools.

3.	Set the serialized unit identification rule. See Defining Unit Identification for Tools.

4.	Create a warehouse for your tools (optional). See Setting up Warehouses for Tools.

Create Tool Resources and Check Inventory Balances:

1.	If you haven’t already, create your tool resources as non-serialized resources in the Resource Catalog. Make sure that you have warehouse items and supplier resources for each tool resource. See Setting Up Tools as Resources in Inventory.

Make sure that the balances are correct for each warehouse that the tool is stocked in. There must be the same number On-hand (or more) as there actually are in each warehouse. If there are more assets than on-hand units, the on-hand balance must be adjusted. Remember to check all warehouses. Create Maintainable Assets to Track Each Tool

1.	If you haven’t already, create a maintainable asset for each tool that you want to track. You may also use existing assets to track the tools. See Creating a Maintainable Asset.

2.	Link each asset to the appropriate tool resource using the non-serialized option. See Linking Assets to Non-serialized Resources.

Convert the Tool Resources to be Serialized Resources

1.	Convert the tool resource to a serialized resource. See Converting a Tool Resource To Track Serialized Inventory.

2.	Create the units for the resource. APM links the assets to the units. See Creating Serialized Units for Existing Tool Resources.

If Your Organization is Using The Equipment Rental Process

1.	Create Suppliers for rentals. See Creating a Supplier.

2.	Create Supplier Resources for rentals. See Creating Supplier Resources and Defining Rental Rates for Tool Rentals.

Steps for Adding a Unit for a “Found” Asset

This checklist outlines the steps to follow if you are adding assets in APM that were missed when you set up serialized inventory support.

1.	Add the unit to the warehouse. See Adding Found Assets as Serialized Units.

2.

The unit status must match the asset’s status or they cannot be linked. Therefore, make the asset status equivalent to “On-hand” or issue the unit and change the unit’s status to the equivalent of the asset status. For example, if the asset was “found” in the repair shop, both the asset and the unit must have the “Repair shop” status. See Matching an Asset’s Status to the Unit Status.

3.	Link the unit to the asset. See Linking Maintainable Assets to Serialized Tool Resources.
