Swapping a Serialized Inventory Unit on a Work Order

Once you have planned a work order to replace a failed serialized inventory unit, you can issue the replacement unit to the work order. After the new unit has been issued, you can complete the component swap.
Note: This step does not apply to serialized units that are not linked to assets.

To Swap Serialized Inventory Units

In the table on this tab, there will be an item called Remove and Install. Double-click on this item to open it. The Asset Status dialog appears.

Ensure that the New Status boxes are filled in correctly. These are the statuses that the components will have after the swap is completed. Typically, the new status of the removed (failed) component will be ‘Awaiting Repair Action’ or ‘Repair on site’, and the status of the replacement component will be ‘Working’.

When the information on the Asset Status dialog is correct, click the Swap Now button. The Swap Component dialog appears.
Note: If the Swap Now button is unavailable, check the current status of the unit being installed. If the status is “Spare”, you will not be able to complete the swap. The unit must have an “Awaiting Installation” status in order to be installed. If this is the case, double-check that the correct unit was issued to the work order.

On the Swap Component dialog, select the Repair Task Info tab. On this tab, you can decide what to do with the failed component.
If the repair process has been automated for this resource, the system may have already created a work order to repair the failed unit. If the repair work order already exists, click OK on the dialog. Skip to step 10.

The swap is completed. No repair work order is created.

Select how you want to create the work order in the next step. For external repairs, the system adds a material requirement for the repair purchase demand to the new work order.
The work request is created when the dialog is closed. Complete the work request as necessary.
Note: If you close the work order without using the Swap Now method, the system will swap the components/units, but will not give you the option of creating a repair work order or work request. However, you may still create a repair work order at a later time.

Based on a standard job: Select the standard job on which you want to base the repair work order. Click Browse to search for the job.
Based on a standard task: Select the standard task on which you want to base the repair work order. Click Browse to search for the task.
From scratch: Select this option to create new work order that is not based on a template. Enter a Title and Work type for the new work order.

Click OK. The system completes the swap, and if selected, creates a new work order or work request.
