Creating Serialized Inventory Units for Resources

You can create serialized inventory units when you create a new resource and when you receive additional units of a resource. You can also convert existing resources to serialized inventory units. You can change a resource from non-serialized to serialized at any time.
When converting a resource into serialized inventory, you must first specify that the resource supports serialized units. Then convert the warehouse items and linked assets to serialized units.
You can convert balances for each warehouse in which the resource is stocked. When units have been generated for a warehouse item, balances are maintained through resource transactions.
When you convert warehouse items, the number of inventory units and the number of warehouse items must be the same. You must verify the following:
When you convert a resource that has component assets referencing it (linked assets), inventory units are created and linked to assets that have an asset status that is matched to the inventory status “Spare,” “Working,” or “Awaiting Repair Action.” Assets are linked as follows:
Available spares — Component assets with an asset status that is matched to the inventory status spare, that are not in operation (out of service), and are available for use, are linked to inventory units with the status of “Spare.”
If the number of available spares exceeds the number of spare units, APM creates units for the available spare components with a status of “Spare” and links the assets to the new units.
Working components — Component assets with an asset status that is matched to the inventory status “Working” and that are in operation (in service) are linked to inventory units with an inventory status of “Working.”
Unavailable spares — For component assets with an asset status that is matched to the inventory status “Awaiting Repair Action,” that are not in operation (out of service), and are not available for use, APM creates units with a status of “Awaiting Repair Action” and links the assets to the new units.
In-transit units must be received before the resource is converted to serialized units.
If you have any assets with asset statuses that are not matched to an inventory status “Spare,” “Working,” or “Awaiting Repair Action,” they will not have inventory units created and linked to them. You should change the asset status and then manually link the asset to the inventory unit.
Note: Units that are created with an “out of inventory” status (for example, “Working” or “Awaiting Repair Action”) are not assigned an initial inventory value. This means that when they are returned to inventory, the value of each unit in inventory could be reduced.
For example, serialized resource A was created with two units in inventory and one “Working” unit. The total inventory value was entered as $100 (value per unit = $50). When the “Working” unit is returned to inventory, the on-hand value remains $100, but the unit cost is now $33.33. You can create an inventory adjustment to correct the on-hand value and unit cost.
You can convert existing warehouse balances to serialized units from the resource view. You must first activate serialized inventory support. For more information, see Activating Serialized Inventory Support for Resources.

To Create Serialized Units From a Resource

From the Site window, select the Resource Management view and find and open the resource. The Resource window appears.

Select the Inventory view.

On the Warehouses tab, right-click the warehouse for which you are creating units, and then select Serialized Units > Generate Units.

The Create Serialized Units dialog appears and the Verify Units button becomes available. The table at the bottom of the dialog lists the units that will be created. You can:
Add additional new units — Click New. The Create Inventory Units dialog appears. The most common reason for adding new units this way is to add units for assets that did not reference the resource.

If the verification is unsuccessful, an error message will describe why the units could not be created.
If the verification is successful, Verify Units is replaced with the Create Units, and the unit information cannot be changed.

Click Create Units to complete the unit creation process. The units now appear in the list on the Units tab.
