Issuing Serialized Units

When you issue a serialized resource you must identify the specific unit. Only units with a status of “Spare,” “Returned,” or “Awaiting Re-stock” are available for issue. You cannot issue a “Decommissioned” unit.

Serialized resource units that are linked to an asset are issued at zero cost to the asset and work order task. The task and asset are not charged for the unit — they are charged with the costs of the repairs to the unit that is being replaced. The GL account to charge is set to the site’s “Holding” account for serialized units.

Serialized resource units that not linked to an asset are charged the same way as any stocked material.

Units must be issued from inventory before they can be installed.

When you issue a serialized unit, here’s what happens:

•	Quantity available is decreased.

•	Warehouse on hand value ($) is decreased.

•	Unit cost does not change.

•	Transaction value is the unit cost value.

•	Charge Account is the Site Holding Account.

•	Offset Account is the Inventory account.

When you issue a serialized resource, the issue quantity is set to 1 and is read-only. The Unit and New Status boxes become available. You must select a specific serialized resource unit, and select a status for the issued unit. Typically, the new status is “Awaiting Installation.”

To Issue Serialized Units

1.	In the Site window, select the Resource Management view and then the Inventory tab.

2.	Select the Warehouses tab, and then select the warehouse in which the resource is stocked in the list on the left side. The list of stocked resources for that warehouse is shown in the table on the right.

3.	Right-click the serialized resource which you are issuing and select Issue Item. The Material Issue dialog appears. For example:

Unit	For serialized resources, the specific unit. If you know the unit number, you can enter it here, or select it from the list.

From Inventory

Ensure that the correct warehouse inventory group is selected.

Quantity

The number of units required.

New status

The new status for an issued serialized unit. For units linked to assets, you would normally select “Awaiting Installation”. For units not linked to assets, you would normally select “Working”.

Picked by, Received by, or Recorded by

The name of the employee who performed the transaction. For example, for an issue it is the person who issued (picked or delivered) the material. It is not necessarily the person who entered the transaction. For a time sheet, it is the name of the person who recorded the time worked. For a receiving document, it is the name of the person who received the material. If your organization includes multiple sites, the employee record and the transaction entry form must both be owned by the same site.

Issued to

The employee to whom the part is issued.

Charge to

You can charge the costs of the material issued to a work order, an asset, or directly to an account. Typically, you would select the work order that is tracking the replacement of the failed unit/component asset. If you select a work order, you can charge the costs to an individual task on the work order.

5.	When you are finished entering information, click OK. APM posts the new transaction and makes the appropriate inventory adjustments in the warehouse. For units linked to assets, the component swap information is updated on the work order being charged.
