Setting Receiving Report Policies

If you are using APM’s purchasing system (requisitions, purchase orders, and receipts), you will probably be using the receiving report. You can set the policies for using receiving reports at each site. The available settings include whether or not receiving reports are automatically printed, which report form is used, and how many copies are printed. You can also select whether or not you want the expected quantity to appear as the default quantity received on purchase receipts.
A different set of policies may be defined for each site. For example, one site may require that receiving reports be automatically printed for every report, while a second site prints them on request only.

Enforcing the Use of Receiving Reports

There are two ways in which purchase receipts are entered: as part of a receiving report and as individual receipt transactions. Only receipts entered as part of a receiving report form can be printed on a receiving report. Receipts entered individually are not printed on a receiving report.
If you need to have all receipts printed on receiving reports, you must use system security to restrict users from creating individual purchase receipt transactions. If users are restricted from using the objects and actions listed below, the receiving report will be the only method available to create purchasing receipts:

To Set Receiving Report Policies

On the Site window, click the Administration menu, click Resource Management Settings, and then Resource Transactions. The Resource Transaction Settings dialog appears.

Receiving reports are printed on request only: Select this option if you do not want a receiving report printed automatically. When this option is selected a receiving report is only printed when requested by the user.
A report is automatically printed for each receiving report: Select this option if you want a receiving report printed each time a set of receipts is entered. The system prints a report automatically when each receiving report is posted.
