Procurement Process for Job Contractors

A job contractor's services are planned and procured in the same manner as a service resource:

•	The requirement is identified on a work order task. The requirement refers to a trade resource and has a fulfillment method of purchase.

•	If required, the work order task and purchase requirement are approved (optional)

•	A RFQ is issued to solicit bids from possible suppliers (optional)

•	The supplier's bids are analyzed and the winning bid is selected (optional)

•	A contract is optionally created along with a set of supplier-resource prices (optional)

•	A purchase order is sent to the supplier

•	The job contractor's time is recorded on a service acknowledgment.

•	The supplier's invoice is matched to the service acknowledgments (optional)

This section lists the high-level steps to procuring a job contractor, with links to more detailed topics for each step.

To Procure a Job Contractor

1.	If necessary, create a trade for the contractor. The trade should have Available sources set to either Purchasing only or Both maintenance and purchasing. See Adding a New Trade.

2.	Add the trade requirement to the work order task. See Adding Job Contractors to a Work Order Task.

3.	Send the work order for approval, or mark it as planned.

4.	Create an RFQ (if required). See Creating “For Demand” Requests for Quotation.

5.	Award the RFQ to the winning supplier. See Awarding RFQs.

6.	If not done in step 5, create a contract. See Creating a New Contract.

7.	Approve the contract (if required). See Sending Contracts for Approval.

8.	Create a purchase order. See Creating Purchase Orders from a Work Order.

9.	Approve the purchase order (if required). See Sending Purchase Orders for Approval.

10.	Send the purchase order to the supplier. See Sending a Purchase Order to a Supplier.

11.	You can now schedule and report activity for the work order task, as usual. You can record work time for job contractors using service acknowledgments.
