Exporting Schedules to Existing Microsoft Project Files

You can use the export to MS Project function to update an existing Project file. This feature can be used in a number of situations. For example:

•	Work order tasks have been added to the schedule after it was exported. You want the new tasks added to the Project file

•	Significant changes have been made to the schedule. The current Project files are no longer valid and you want to start over with a new Project file.

•	You want to add a new schedule to the Project file.

To Export Schedules to an Existing Microsoft Project File

1.	Open the schedule that you want to export.

Tip: To export a set of schedules, open the parent schedule for the set.

2.	Make sure that editing is enabled.

3.	From the Tools menu, select MS Project and then Export. The MS Project Export dialog appears.

4.	Select the option Export to an existing file.

5.	Select the following:

Project File

The name of the MS Project file currently linked to the schedule. The name of the file to which the schedule was previously exported is defaulted. You can change it, for example, if the file has been renamed or moved. If you are importing data from a MS Project file, enter file that will be imported. If you identify a Microsoft Project file that did not originate from the schedule, the file contents are bypassed. Only tasks that were created by an export function of this schedule are processed by the import.

Schedule Entries to Export

Select whether you want to export all or only some of the entries on the schedule(s): • All: The contents of the Microsoft Project file are cleared and the contents of your current schedule are exported as if this was the initial export. Any changes that were made in Microsoft Project that were not imported to the schedule are lost. • New: Only entries that have been added to your schedule since it was previously exported are exported and added to the Microsoft Project file. The existing task information is not affected.

Schedules to export

Select whether the system should export the current schedule only, or both the current schedule and its descendant schedules.

Project files to create

If you are exporting multiple schedules, they can be exported to a single MS Project file, or to separate files. The files are created as master and sub-project files.

Create project tasks for schedules

Select this option to have the system create summary tasks for each exported schedule.

Create project tasks for work orders

Select this option to have the system to create summary tasks for each work order on the schedule. Work order tasks are shown as sub-tasks.

6.	If you have changed the export options and want to save these options as the default for the schedule, select the option Update the schedule’s default values.

7.	Click OK. APM exports the schedules and opens the MS Project file.
