Completing a Timecard

This section explains how to fill in and enter labor charges on an APM timecard. You can open and create timecards when you report work activity, report labor charges on a schedule, or manually from the site.
A timecard is a form on which you can enter labor charges for an employee. If there were any delays in performing the work, you can record them on the timecard. You can also record the estimated time remaining to complete the work order task. This information will be used in the APM scheduling function.

Overriding GL Accounts

APM automatically derives a GL account for charges to an asset or work order task based on the site’s accounting settings. You can override the derived maintenance GL account for labor, direct purchases, and inventory usage charged to an asset or work order. When the account number is overridden, the replacement account number is used on subsequent documents and transactions (work order requirements, timecards, issue transactions, purchase order lines, and receipts). The option to override a GL account is available only if the work type has been set up to allow the override.

To Complete a Timecard

On the Timecard tab, enter the following information:
Enter the Employee name or number. To change the employee, click Browse. Select an employee in the selector dialog, and then click OK.

To record delays in performing the work, select the Delays tab, and then click New. Select why the work was delayed from the Reason for delay list, enter how long the delay was in the Delay length box, and then click OK.

If the timecard is being reported for an on-site contractor, select the Contractor tab. Select the Contractor time card option, and then select the Purchase order and Line to which the contractor is charging their time.
Note: Only purchase orders that are set to be used for contractor time reported are available to be selected.

Select the Distribution tab. If necessary, update the accounting information for the timecard.
If you need to select a different work order, use the Browse button. If you need to change the task, select the correct task from the Task list.
To change the GL account, select the Override the account option (if available). Click Browse, select the appropriate account, and then click OK.
