Creating Asset Properties Change Requests

Change requests specify updates to be performed on assets in the external CMMS (for example, SAP) that manages assets and work. AssetWise Enterprise Interoperability (AWEIS) conveys requests to the CMMS and returns information to APM. The asset update is performed in the CMMS and then information such as a new equipment number is communicated back to APM, where the interop asset is updated.
Asset change request types provide settings according to the kind of request: asset properties change, status change, equipment removal, priority change, or construction form update. For more information, see Setting up Asset Change Request Types.
Note: A banner appears at the top of the Asset Change Request window if asset change request statuses have not been assigned to interop statuses. Click the Edit Settings button to assign an asset change request status to each of the Sent, Accepted, Rejected, and Error interop statuses. Creating an asset properties change request involves selecting the asset, request template, and request type, and then entering the new and revised information for the asset. Then click Validate to have APM check that the mandatory properties have values, numeric fields have valid data, and so on. Depending on the requirements set out in the request type, the change request might need to be either sent for approval or reviewed by as many as three authorized employees. When these steps are complete, characteristic values are generated for the asset properties and the request is “Ready for interop”.

To Create and Validate an Asset Properties Change Request

Initiate a properties change request for an interop asset from one of the following locations:

Site window, Assets view, Change Requests tab. Click New
•
Asset window, Properties view, Change Requests tab. Click New
•
Checksheet window if the indicator asset’s asset type allows asset properties to be displayed on readings. Select the Asset Properties tab and click New Change Request
•
Indicator Reading window if the indicator asset’s asset type allows asset properties to be displayed on readings. Select the Asset Properties tab and click New Change Request
•
Construction Form window, Details view and tab for a validated form. Select the asset in the Records list and click Properties Change Request at the bottom of the Details tab
•
Request for Work window if the asset type allows asset properties to be displayed on request for work windows. Select the Asset Properties tab and click New Change Request

Provide details about the request:
Setting Name
Description
Request number
APM automatically assigns the next available number to each new asset change request. You can change the number to another unique value.
Asset
Interop asset that is the subject of the change request.
Template
An asset change request template defines the content and behavior of requests based on an asset type. Each asset type has its own panel or window containing properties specific to the asset type so that you can record values in the request.
Request type
The asset change request type identifies the purpose of the request: asset properties change, status change, equipment removal, priority change, or construction form update. It also specifies default request status and characteristic map set.
Title
APM automatically combines the change request type and asset for the default title. You can change it as needed.
Maintenance supervisor
This employee has been assigned the supervisor role in his or her APM employee record.
Construction supervisor
This employee has been assigned the Construction Supervisor role in his or her APM employee record.
Work request

Click Next. The New Properties Change Request window displays the Change Request tab, showing the asset properties. Here is an example for a transformer:

When you have finished adding or revising mandatory data on this tab, select the Details tab. For example:

This tab displays information from the start panel, as well as the status of the request. You can change some of the information, for example, Requested by and Requested on.

When you have finished adding data to the request, select the Change Request tab and click OK.

If no errors are found, the request is saved successfully
•
If errors are found, a red banner appears at the top of the window and the errors are listed in the side panel. For example:
Add the missing information or correct the values and click OK again.

Select Ready for review.

Select the Photos tab to browse and attach photographs.

Select the Comments and Notes tabs to add information.

When you have finished, close the change request window.

To View Asset Change Requests

After you have created the change request, you can view it in the Asset window. On the Properties tab, select the Change Requests tab. You can open the change request to view and change its request status, monitor its interop status, and view detailed information. For example:
