Asset to Work On

The asset that needs maintenance or repairs. Click the Browse button to select the appropriate asset. If your organization includes multiple sites, the asset to work on and the work request must be owned by the same site.

Component or Location

If you have selected a component location as the asset to work on, you can switch to the component installed in the location by selecting the Component option. If you have selected a component as the asset to work on, you can switch to the component's location by selecting the Location option.

Title

The name or short description of this item. You can enter up to 250 characters.

Type

Asset types are groups of settings that define the characteristics of your organization’s assets. For example, you might create asset types called “pumps” or “piping and valves.” The asset type contains basic information, policies, and permissions, such as whether or not standard jobs can be created for assets of the type. When you create an asset in APM, you must specify an asset type, which then determines the information and functionality available for the asset.

Hierarchy location

A hierarchy location is a string of letters and numbers that identifies where the asset is in the physical hierarchy. APM constructs a full hierarchy location using the code that you enter in the Hierarchy code box joined with the hierarchy codes for its parent/ancestors. The codes are separated by a period (.). Hierarchy locations are updated whenever the asset or one of its ancestors is moved within the hierarchy (or if a hierarchy code changes).

Number

The number assigned to this work request. APM automatically enters the next consecutive number, but you can change the number if necessary. If this box is left blank or if the number is not unique, an error message will appear.

Status

The current status of the work request: New, Work Order Created, Work Completed, Canceled, or Closed. New: The work request has been created, but has not been turned into a work order yet. Work Order Created: A work order has been created for this work request. Work Completed: The work order that was created for this work request has been completed. Canceled: The work request was canceled. Closed: The work request was manually marked as “Closed”.

Work type

A work type is a site setting used to describe different kinds of work. For example, “Inspection” and “Repair” might be two work types that you use in your organization. This information is included in the work order created from the request.

Work classification

Work classifications are used to group work order tasks into categories relevant for the site. When you select a work classification for a work request, the list is filtered to include only those classifications defined as valid for the selected work type. The work type and classification are added to the work order created from the request.

Maintenance group

The maintenance group that needs to perform the work requested. Select the appropriate maintenance group. For example, you may select a mechanical group, an electrical group, or a preventive maintenance group.

Planner

The employee who is the planner for this work request.

Estimated cost

The estimated cost of the work request. If you know the cost of the work, you can enter it here. If approval is required for the work request, this information will be displayed on the approval request.

Closed Date

The date and time that the document was closed.

Map coordinates

The longitude and latitude coordinates of the work request. Note: By default, the map coordinates are automatically populated with the coordinates of the asset to work on.

The employee requesting the work. To select an employee, click Browse.

Organization

The department or organization where the employee works. Organizations are assets with an asset classification of organization. If your organization includes multiple sites, the organization and the employee's personnel record must be owned by the same site.

Number

The telephone number for this person. You can enter up to 15 characters. If a telephone number mask has been created for the appropriate country, you do not have to enter any formatting characters such as brackets or dashes. APM will automatically format the number correctly.

Extension

The extension for this phone number. You can enter up to 6 characters.

Date Requested

The date that the work request was created. When you create a request, APM automatically enters the current date.

Describes the origin of the work request. Fro example, “Created in APM” means that an APM user created the request manually. Work Order Status

The current status of the work order. At various stages in the life cycle, APM may assign the following statuses to a task or work order: New, Work Started, Closed. Work planners may also select an appropriate status for the task or work order: Needs (More) Planning, In Planning, Planned, or Work Started. Each task on a work order may have a different status. When work order tasks have different statuses, the work order will show the earliest status of its tasks. For example, if task 1 has a Work Started status, but task 2 has an In Planning status, the work order status will be In Planning.
